Sending a WordPress form to HubSpot creates or updates a contact for every submission, so sales can follow up from the CRM instead of an inbox. It keeps your website form and your pipeline in step without anyone copying details across. This guide is for teams who already work in HubSpot and collect leads on WordPress. We cover the private app token, the CRM card on a form and a quick test, in about 15 minutes.
The short version
- Make a HubSpot private app and copy its access token.
- Paste the token into Echo Forms Signature under Connections.
- On a form, tick Send to a CRM and choose HubSpot.
- Every real submission creates or updates a HubSpot contact.
Why send form leads to HubSpot?
Because leads that wait in an inbox go cold. A lead answered within 1 hour is far easier to reach than one answered after 24 hours. A contact created the moment someone sends the form can trigger a HubSpot workflow, land in a sales rep’s queue and appear in reports, all within seconds. It also stops duplicates: a returning person updates their existing contact instead of becoming a second one.
What do you need from HubSpot?
An access token from a HubSpot private app, with permission to read and write contacts. HubSpot explains how to make one in its private apps documentation. Keys stay in your own site’s database and are never sent to us, and a saved token is never shown again.
Which fields reach HubSpot?
The CRM card sends the fields you link to the customer’s email and name, using each field’s Links to booking field option on the Build tab. Our templates already link their Name and Email fields this way, so most forms need no changes.
| CRM | What Echo Forms needs |
|---|---|
| HubSpot | An access token |
| Salesforce | A connected app, your login and security token |
| Pipedrive | An API token and your company address |
| Zoho CRM | A Self Client’s refresh token and your data center |
How to send a WordPress form to HubSpot, step by step
- In HubSpot, create a private app with contact read and write scopes, and copy its token.
- Open Connections in Echo Forms Signature and paste it into the HubSpot card.
- Open the form, and on its Marketing tab tick Send to a CRM and pick HubSpot.
- Check that the Name and Email fields are linked under Links to booking field.
- Send a test entry with a new email address.
- Find the contact in HubSpot, usually within 1 minute.
The send entries to your other tools guide covers the CRM card, and the connections guide shows where each CRM’s keys go.
Do you need HubSpot’s own forms instead?
Not usually. HubSpot’s forms are built for HubSpot pages and tracking, while a WordPress form plugin keeps the form in your theme, with payments, logic and steps. We think the best setup for most small teams is the form on WordPress and the contact in HubSpot. ReefCRM, our own CRM, is coming soon, and on the same site it will need no card at all, because every entry lands on the person’s timeline on its own.
A HubSpot contact from every form takes about 15 minutes to set up and saves hours of copying each month: at 3 minutes a lead, 40 leads a month is 2 hours of typing. See the Echo features for entries for everything else an entry can do, or compare Free and Signature.
